WHAT YOU’LL DO
As the organization grows, so has its vision of expanding its membership base, impact, and service delivery across the Commonwealth, while continuing pivotal advocacy and policy victories. To meet these expanding demands with a solid organizational infrastructure, BECMA will hire a Senior Operations Manager to develop and manage the organization’s internal operations. This newly created role is a highly cross-functional one that will work with BECMA’s President and CEO, staff, consultants, vendors, board members, and internal and external stakeholders to oversee daily activities, improve and manage the organization’s operational efficiency, and monitor the organization’s financial health. The Senior Operations Manager must be high-energy, extremely organized, detail-oriented, humble and collaborative, highly diligent with substantial experience in human resources, finance, and IT management, and is unapologetically committed to social justice and economic opportunity for Black people. 

A successful candidate will execute the following roles and responsibilities as well as other duties as assigned:

Operations Management

  • Advise the President & CEO in the planning, implementation, and evaluation of modifications to existing operations, systems, and organizational procedures.
  • Create, maintain, and periodically review operational policies & procedures, guidelines, and best practices, revising and updating as required.
  • Collaborate with the President & CEO to prepare and lead bi-weekly senior staff and full team meetings to maintain consistent communication of organizational strategy and programming.
  • Manage day-to-day operations, including human resources and budget review, and work with the President & CEO to develop action plans, goals, and operational programs to improve efficiency and customer service.
  • Monitor the organization’s main email account and develop a process for connecting external stakeholders with the proper staff member.
  • Work collaboratively with each department to manage the organizational calendar.

Budget Maintenance

  • Collaborate with the Accountant and the Development team to monitor the proper deployment and tracking of restricted funding.
  • Coordinate with the Accountant the creation, preparation, and collection of regular organizational and departmental operating reports, such as budgets, expenditures, and statistical records of performance data.
  • Work with the Accountant to analyze and optimize operating practices, such as record-keeping systems, personnel and budgetary requirements, and performance standards to create new systems or revise established financial procedures.

Human Resources Support

  • Collaborate with the President & CEO to create and maintain a process of effectively managing and conducting periodic reviews of all staff. This includes working to address and resolve staff grievances, performance evaluations, and advice on personnel actions. 
  • Coordinate with staff to identify professional development needs, and implement ongoing training and workshops that address professional development, as well as team-building, communication and morale. 
  • Maintain compliance with and abreast of all local, state, and federal regulations as related to the organization’s program operations, including OSHA and HIPAA. 
  • Manage payroll processing and staff benefits using the current payroll system, Gusto. 
  • Organize the hiring process using the organization’s payroll system, including working with each department to ensure all job descriptions are consistent and appropriate, collaborating with the Communications team to advertise open positions, developing a system for receiving and reviewing resumes, coordinating and conducting interviews, conducting reference and background checks, and drafting offer letters.
  • Update documents, processes and procedures connected to onboarding new staff, consultants, interns, and vendors.

A successful candidate will possess most or all of the following:

Experience

  • At least 3-5 years of experience in related position(s) with transferable skills
  • At least 3-5 years of experience managing a team of people and/or managing external stakeholders such as vendors

Knowledge

  • Demonstrated knowledge of the principles and practices of human resources, personnel administration, including such functions as payroll processing, training, and staff retention
  • Interest in, passion for, and knowledge of issues facing Black people, communities, organizations, and businesses, including racism, racial justice, and/or economic development and eliminating the racial wealth gap
  • Knowledge and ease of and/or interest in working with small and entrepreneurial teams
  • Strong understanding of budget development and oversight

WHAT YOU’LL GET
This is a full-time position located at our office in Boston. You are not expected to work from the office during the COVID-19 pandemic. Those who do wish to work from the office are expected to be fully vaccinated or to provide a negative COVID-19 test prior to each visit.
